Vedder Holsters is seeking a detail-oriented Finance Analyst who thrives on improving financial processes and uncovering meaningful insights in complex data. In this role, you will manage critical financial operations while helping leadership identify opportunities to improve efficiency, strengthen controls, and support continued growth. You will support key financial operations, compliance, and reporting functions across the organization. This role will manage multi-state sales tax filings, payroll processing, financial reconciliations, and monthly reporting while providing analytical insights to leadership. The ideal candidate is highly analytical, organized, and comfortable working cross-functionally to improve financial processes and ensure regulatory compliance.
Key Responsibilities
- Manage full-cycle multi-state sales tax compliance: prepare, review, file, and/or reconcile sales tax returns across 40+ states, including automated filings and responses to state notices and inquiries.
- Ensure timely and accurate remittance of sales tax payments; conduct semi-annual audits of payments to verify accuracy and identify discrepancies
- Prepare, file and/or oversee payroll processing bi-weekly, including calculations, direct deposits, deductions, and related reporting (e.g., IRA contributions)
- Administer workers' compensation reporting and payments: calculate monthly obligations, prepare filings, and collaborate with annual auditors to provide required documentation for accurate premium assessments
- Reconcile daily/periodic deposits from multiple payment gateways against completed transactions and sales records to ensure accuracy and completeness
- Maintain and improve inventory tracking/reporting processes in collaboration with IT and Inventory teams; communicate accurate inventory figures to external bookkeeper as needed
- Review monthly general ledger transactions for proper classification, coding, and accuracy; flag and resolve anomalies
- Analyze monthly income statements, departmental performance reports, refund trends, and free-send activity to identify inefficiencies, red flags, cost-saving opportunities, and areas for operational improvement
- Prepare and deliver monthly income statements and key performance reports to founders and leadership team
- Oversee collection of W-9 information company-wide; manage 1099 and W-2 preparation/distribution processes through Rippling and external CPA
- Communicate regularly with external bookkeeper to resolve outstanding receipts, documentation needs, and monthly close items
- Monitor evolving federal, state, and local tax laws/regulations impacting sales tax, payroll, workers' comp, and other compliance areas; implement necessary updates to processes and filings
- Evaluate and optimize payment gateway solutions to improve efficiency, reduce fees, and enhance transaction reliability
- Analyze payroll, labor, and benefits costs, including headcount reporting and cost-per-employee metrics, to evaluate the financial impact of hiring decisions and support workforce planning
- Assist in the development of departmental budgets by analyzing historical financial data, labor costs, and operational trends to support accurate forecasting and strategic planning
- Support ad-hoc financial projects, audits, and process improvements to strengthen overall financial controls and reporting accuracy
Skills and Experience
- Strong financial analysis skills with the ability to interpret financial statements, identify trends, and surface actionable insights
- Excellent attention to detail and accuracy when reviewing financial data and reconciliations
- Advanced proficiency in Apple Numbers, Microsoft Excel or Google Sheets
- Strong analytical and problem-solving skills, particularly when reconciling complex financial data across systems
- Ability to manage multiple deadlines and compliance requirements simultaneously
- Strong organizational and documentation skills
- Ability to communicate financial information clearly to leadership and non-financial stakeholders
- Ability to collaborate cross-functionally with internal teams and external partners
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field required
- 3–5+ years of experience in financial analysis, accounting, or a similar finance role
- Experience with multi-state sales tax compliance strongly preferred
- Experience processing payroll and managing related reporting and deductions
