Finance and Office Manager

About the role
Finance: In this role you will work with dREamodel and Double Deuce Distribution. You will manage all facets of each company’s finances including product and service pricing, financial reporting, accounts receivable, accounts payable, payroll and sales tax accounts.
Office: In this role you will work with dREamodel and Double Deuce Distribution. You will manage and oversee office operations and supplies, work on marketing efforts, manage incoming leads and manage CRM, assist in employee hiring and employee retention.

Responsibilities

Finance:
*Prepare monthly financial reports – P&L, Balance Sheet
* Accounts Receivable
* Accounts Payable
* Manage/ track and reconcile all bank accounts and credit cards
* Payroll and all taxes, contributions 401K accounts
* Sales Tax accounts
* Work with outside accountant on taxes and strategies
* Oversee and update product and services pricing in QuickBooks
* Work with production department and owner on quarterly product pricing reviews
* Prepare commission pay sheets for each project and update job costs to each sheet as required
* Monitor Subcontractors insurance and agreements and keep them in compliance, ensuring no payments are made to non-compliant subcontractors
* Work directly with insurance company(s) on work comp and liability audits
* Prepare and distribute year end 1099’s
* Submit, oversee and manage all rebates and perk programs offered by vendors and material manufacturers.
* Run financial analysis on projects and products. Make recommendations to owner on profitability trends
* Analyze marketing versus sales success on marketing efforts and make recommendations for company growth.

Office:
* Handle and distribute incoming phone calls
* Handle incoming leads and distribute to sales staff
* Update and post job openings
* Perform initial phone interviews and schedule in person interviews
* On board new hires (Paperwork and documentation)
* Manage and order clothing / swag, business cards, office supplies
* Oversee / schedule marketing efforts (Home shows, Google Ads, Social Media & Website)
* Submit all required documentation and procure manufacturer warranties for our clients.

Location and Commitments

* Permanent full-time salary role based in our Maplewood office
* Evening and weekend work is rare but can occasionally be necessary to ensure job responsibilities are met

Candidate Requirements

* Previous accounting / finance experience
* Excellent communication skills when working with vendors, teammates, clients and city offices
* Proficient computer skills and experience in Microsoft programs and QuickBooks
* Analytical
* Ability to muti-task
* Good organizational skills
* Team player
* Likes to have fun!

Job Type: Full-time

Pay: From $55,000.00 per year
