Role Details
Role Title : Finance Associate
Department: Finance
Reporting To: Senior Associate/Finance Manager

Qualifications
:
Bachelors Accounting, Finance, or Business Management
Preferred Candidates or Plus Points for a Candidate:
Excellent English communication: both written and verbal
Prior experience with U.S.-based clients/systems is a strong advantage
Ability to perform well in fast-paced, remote, and cross-functional environments
Responsibilities

Invoicing & Revenue Tracking
-
Generate daily invoices for completed trips using Coach Manager, ensuring accuracy and completeness
-
Verify that actual trip hours (via GPS tracking) are within the scheduled limits before posting invoices to QuickBooks (QB)

Post and reconcile all trip-related invoices into QuickBooks on a timely basis

Accounts Receivable Management
-
Monitor customer account balances and follow up on overdue invoices through daily liaison with clients

Proactively manage receivables to maintain a healthy cash flow cycle

Collaborate with the operations or customer service teams for resolution of any invoicing disputes

Accounts Payable Management
-
Track and process vendor invoices in a timely manner, ensuring no payments become overdue
-
Maintain proper records and reconcile payable balances regularly

Ensure proper approvals are obtained before initiating vendor payments.

Banking & Reconciliations
-
Perform daily bank reconciliations for all business accounts

Reconcile receipts between Coach Manager and QuickBooks
-
Address discrepancies and maintain clean ledger balances.

Expense & Credit Card Management
-
Monitor and audit corporate credit card transactions, ensuring timely itemizations and proper coding in QuickBooks
-
Maintain and update amortization schedules for interest-bearing loans or leases
-
Ensure compliance with internal controls and spending policies.

Month-End & Financial Reporting
-
Assist in month-end closing activities, including journal entries, reconciliations, and schedule preparations
-
Ensure accurate financial statements with zero ambiguities by month-end
-
Coordinate with the Finance Manager to prepare and review P&L, balance sheet, and cash flow reports

Analyze financial data for variances and help identify opportunities for process improvement or cost optimization

Cross-Functional Collaboration
-
Liaise with multiple departments including Operations, HR, and Admin on finance-related tasks

Address and resolve daily queries received through the Accounting inbox and Slack channels
-
Compliance & Documentation
-
Maintain proper documentation for all financial transactions in alignment with company policies and audit standard

Assist with external audits, providing requested information and reconciliations as required

Ensure compliance with relevant tax, legal, and regulatory standards (as guided by senior finance personnel)
Additional Value-Add Responsibilities

Propose process improvements or automation ideas to enhance the efficiency of daily finance operations

Maintain an organized, up-to-date filing system for financial documents and records

Assist in budgeting or forecasting exercises as required by the finance leadership
Skills Requirements
Technical Skills

Proficiency in QuickBooks, Paylocity, and Microsoft Excel

Understanding of US accounting systems and payroll concepts

Competence in invoicing, AP/AR workflows, and reconciliations
Interpersonal Skills

Excellent English communication: both written and verbal

Ability to clearly and effectively explain financial concepts and relative work experience

Other Requirements

Personal PC operating system to be used in probation period minimum requirements include Windows 11 and macOS 13 ; however, all employees should have personal laptop available at all times as a backup

Availability over call during US (Eastern Time) working hours at all time and excellent internet connectivity preferred connection would be between (60 MBPS - 100 MBPS)
