The Finance Executive is responsible for managing day-to-day financial operations of the shipping line’s agency, ensuring accurate accounting of freight revenues, port disbursements, vendor payments, and compliance with company policies and maritime financial practices.
Key ResponsibilitiesRevenue & Billing
- Prepare and verify freight invoices, agency charges, demurrage, detention, THC, and other shipping-related revenues.
- Ensure accurate posting of freight income in coordination with Operations and Documentation teams.
- Reconcile billed freight with system reports (ERP / shipping software).
Accounts Receivable
- Monitor customer outstanding balances and follow up for timely collections.
- Prepare aging reports and coordinate with commercial and operations teams to resolve disputes.
- Ensure proper allocation of receipts against invoices.
Accounts Payable
- Process vendor invoices, including port authorities, terminals, shipping vendors, transporters, and service providers.
- Prepare and execute vendor payments after proper approvals.
- Maintain accurate vendor ledgers and resolve discrepancies.
Port Disbursement & Agency Accounting
- Handle Port Disbursement Accounts (PDA) for vessels, including verification of port charges, stevedoring, pilotage, and related costs.
- Coordinate with operations for vessel calls and cost allocation.
- Ensure timely settlement of PDAs in line with shipping agency standards.
Banking & Cash Management
- Prepare bank payment vouchers, cheque payments, and online transfers.
- Perform bank reconciliations on a regular basis.
- Maintain petty cash and cash flow records.
Reporting & Reconciliation
- Prepare monthly financial reports, revenue summaries, and expense analysis.
- Reconcile general ledger accounts related to freight, agency income, and port expenses.
- Assist in month-end and year-end closing activities.
Compliance & Audit Support
- Ensure compliance with company policies, taxation rules, and maritime financial practices.
- Support internal and external audits by providing required financial records and explanations.
- Maintain proper documentation for all financial transactions.
Qualifications & Skills
- Bachelor’s degree in Finance, Accounting, Commerce, or Business Administration
- 2–4 years of relevant experience in a shipping line, ship agency, freight forwarding, or NVOCC
- Strong understanding of shipping terminology (freight, demurrage, detention, PDA, THC, etc.)
- Proficiency in ERP / accounting software and MS Excel
- Good analytical, reconciliation, and problem-solving skills
- Ability to coordinate effectively with operations, documentation, and commercial teams
- Strong attention to detail and deadline management
