Position Summary
Smartway is seeking a high-ownership Finance Operations Manager to own daily financial operations and treasury coordination for our trucking business. This role ensures operational financial discipline, cash flow stability, and prioritization of payables while working collaboratively with bookkeeping, payroll, dispatch, and leadership. The ideal candidate is analytical, structured, communications-strong, and comfortable operating within clear rules and escalating risks appropriately.
Key Responsibilities
Treasury & Cash Flow Control
- Run daily 11 AM Treasury Packet and update current/expected balances.
- Maintain a rolling 7-day cash forecast updated daily.
- Prioritize payables (AP) using documented treasury rules (buffer requirements, critical categories, timing).
- Coordinate payroll funding readiness without owning processing.
- Produce a weekly executive cash summary highlighting risks and priorities.
Accounts Payable & Vendor Management
- Track and schedule all Bill Pay entries; ensure proper documentation.
- Maintain vendor terms, escalation points, and payment history.
- Propose timing decisions for payments aligned to risk, buffer, and operational needs.
- Coordinate with bookkeeping for clean reconciliation and reporting.
Financial Reporting & Analysis
- Partner with the bookkeeper to ensure accurate categorization and reconciliations.
- Prepare accurate monthly variance insight (budget vs actual, cash drivers).
- Support budgeting processes with meaningful cash insights.
Process Improvement & Documentation
- Help create, refine, and own SOPs for financial operations.
- Propose and implement improved workflows to eliminate duplication, errors, and bottlenecks.
- Ensure full documentation for audit readiness.
Required Qualifications
- 4–7+ years of financial operations, treasury, or accounting experience.
- Strong experience with QuickBooks Online, QuickBooks Enterprise, and financial systems.
- Proven ability to forecast, prioritize, and sequence payments under cash constraints.
- Excellent written & verbal English communication.
- Strong process orientation and detail discipline.
- Comfortable working in remote teams with independent accountability.
Preferred Qualifications
- Experience in transportation/logistics/trucking financial workflows.
- Familiarity with credit lines, fuel cards, insurance payables, factoring.
- Prior work in a remote or offshore environment.
- Experience with financial analytics and basic KPI development.
