Financial Advisor Receptionist & Meeting Coordinator

Position Summary

The Receptionist & Meeting Coordinator serves as the first point of contact for clients and visitors while ensuring the smooth coordination of client meetings, office operations, and administrative support. This individual plays a key role in delivering an exceptional client experience by maintaining a professional office environment, managing schedules, and supporting advisors and service team members.

Key Responsibilities

Client Reception & Service

  • Answer and direct incoming phone calls promptly and courteously.
  • Greet clients and visitors in a warm, professional, and welcoming manner.
  • Maintain a clean, organized, and client-ready reception area.
  • Provide refreshments and hospitality for client meetings.
  • Prepare conference rooms and meeting materials prior to appointments.

Meeting Coordination

  • Schedule and confirm client appointments for advisors.
  • Coordinate meeting logistics, including virtual meeting links and technology setup.
  • Prepare meeting materials for Financial Advisor(s).
  • Send appointment reminders and follow up on scheduling requests.
  • Assist with client event planning and coordination as needed.
  • Track referral

Prepare and send birthday cards, Christmas cards, and get well cards to clients.

Pay: $15.00 - $21.00 per hour
