Financial Aid Specialist-Data Analyst

The Financial Aid Specialist-Data Analyst is an integral part of the financial aid team.Incumbents are responsible for analyzing data, processing imports, reviewingFAFSA/ISIR file batches from federal databases connected to the FSA partner portalinto the Institutional student information system database known asEllucian/Colleague.The incumbent is also responsible for performing basic functions within the FinancialAid office to include answering basic inquiries, such as starting the financial aidprocess; disseminating financial aid information, forms, instructions to students, staff,faculty, & constituents; data entry; providing information at the reception; answeringphones; filing documents.

EXAMPLE OF DUTIES
Essential Duties and Responsibilities include the following: • Imports financial aid applications from the federal database for financial aidprocessing; manages file batches and forwards FAFSA/ISIR import list and DOEI reportsto appropriate staff for review while exporting corrections as needed.• Assigns cost of attendance budgets to the FAFSA/ISIR batch files by running theColleague SBGT process to ensure all imported students are package ready.• Assigns & sends doc tracking notification letters to student applicants who are missinginformation on a 15, 30 and 45 day schedule by pushing notifications out through theColleague/Ellucian software.• Reviews SAP (Satisfactory Academic Progress) statuses on imported files and runs SAPcalculations as needed to ensure eligible academic standing is in place on FASI toprepare file for packaging or appeal option.• Manages TEAM IA e-filing cabinets for financial aid applicants and serves as the officeliaison for our TEAM IA vendor. The Financial Aid Specialist-Data Analyst will serve asthe (POC) point of contact to begin service escalations with our IT team and filevendor.• Serves as the financial aid (POC) point of contact for the FA-Link which is a two waysoftware interface that connects the Colleges student information system (Colleague)with the campus bookstore (BibliU). The financial aid (POC) point of contact will ensurestudents are allowed to use financial aid, scholarships and/or third 1 party fundsinstantly to purchase books and materials online or in-store, eliminating the need forpaper vouchers and speeding up the paper procurement process.• Manages and exports the purge/drop list circulated from the Registrar afterregistration to distinguish FAFSA/ISIR students whose late files are eligible for reviewor package ready. Oversee the creation of a SLED list from Colleague and place the listin informer to determine who from the purge list has an eligible FAFSA/ISIR and SAPstatus. The list will be exported to create a shared spreadsheet for team review.• Assist with front-desk activities to include: greeting visitors; answering phones;providing information and materials to student, staff, faculty, and other constituentsregarding standard processes and procedures, related to assigned area ofresponsibility; directing students and visitors to appropriate specialist offices, campusdepartments or resources; and scheduling appointments.• Coordinates electronic application, scanning, tracking and e-filing of SpecialCircumstances documents and SAP (Satisfactory Academic Progress) appeals packetsfor processing and storage into the TEAM IA file management system.• Performs other duties of a similar nature or level as needed.RESPONSIBILITIES: Duties include all of the above but are not limited to performingadministrative services such as general reception duties for the Financial Aid Office at thefront desk. Some evening work may be required throughout the week and during peakseasons and/or special occasions (Ex: Open House, Registration, SAP, Purge etc.)
