Position Overview
The Financial Assistant works 20 hours per week (Monday–Thursday, 11:00 AM–4:00 PM; hours are flexible) to assist the Financial Manager with all aspects of OSCA’s accounting and financial operations. This role is to support in keeping OSCA’s finances accurate, auditable, and in good order in accordance with Generally Accepted Accounting Principles (GAAP). The start date for this position will be August 17, 2026.
About OSCA
The Oberlin Student Cooperative Association (OSCA) is a student-run cooperative organization at Oberlin College. OSCA manages the financial, operational, and community needs of its member co-ops, providing affordable housing and dining to students. We are looking to hire a detail-oriented Financial Assistant to join our team and support our Financial Manager in maintaining OSCA’s financial operations.
Key Responsibilities
Accounts Payable
- Enter and pay bills promptly; train student admins on matching packing slips and invoices for audit filing
- Process rent payments to Oberlin College and review rent calculations each semester with the Treasurer
- Run weekly A/P reports for Treasurers and assist vendors as needed
Accounts Receivable
- Issue fall and spring semester room and board bills
- Receive, record, and deposit incoming checks; update the A/R Spreadsheet daily
- Collect debts in accordance with OSCA’s Continuing Policy; apply co-op credits to invoices upon receipt
- Prepare member co-op credit checks at end of spring semester (mid-May)
- Track and process Advance Deposits; prepare journal entries and apply accurately to Fall invoices
- Track Winter Term payments and assist the Winter Term Treasurer with budget and late payment updates
- Collaborate with the Membership Secretary to maintain full co-op membership capacity
Accounting
- Reconcile checking and savings accounts with bank statements
- Make appropriate fund transfers including certificates of deposit and investment options per the Finance Committee
- Perform online credit card reconciliations (peak periods: Winter Term and Advance Deposits)
- Bill individual co-ops for supplies; oversee stockroom inventory tracking and cost management with the Treasurer
Payroll
- Update the Payroll Stipend Spreadsheet each semester as new members are hired; enter data into the accounting system
- Assist members with required forms and identification documents
- Report new hires to the State of Ohio
- Run payroll on the last working day of each month
- File monthly and quarterly Federal, State, and Local taxes
- Prepare end-of-month journal entries
Qualifications
- Minimum 5 years of experience as a full-charge Accountant or equivalent
- Bachelor’s degree required
- Proficiency in QuickBooks accounting software
- Proficiency in Microsoft Word, Microsoft Excel, and Google Sheets
- Strong attention to detail, especially with accounting reports and reconciliations
- Familiarity with GAAP; experience with nonprofit or cooperative accounting a plus
- Ability to work collaboratively with student staff and organizational leadership
