Financial Assistant Manager

Job Summary

We are seeking a detail-oriented and experienced Financial Assistant Manager to join our team. The ideal candidate will be responsible for maintaining accurate financial records, supporting day-to-day accounting operations, monitoring project budgets and expenses, and ensuring compliance with accounting standards and company policies. This role requires strong organizational skills, attention to detail, and proficiency in accounting software and financial reporting.

The Financial Assistant Manager will play a key role in supporting the financial health and operational success of the organization while collaborating with internal teams across multiple companies and projects.

Key Responsibilities

  • Maintain and update financial records, including accounts payable and accounts receivable
  • Process vendor payments and invoicing across two companies
  • Process bills, bank deposits, and customer/vendor payments accurately and efficiently
  • Perform bank reconciliations across four companies
  • Enter and maintain financial transactions in QuickBooks
  • Monitor and clear expenses in QuickBooks to ensure accurate reporting
  • Manage general ledger entries and ensure proper documentation for all transactions
  • Perform account reconciliations to maintain accuracy of financial data
  • Prepare and analyze financial reports for management review
  • Monitor and update construction project budgets
  • Track and monitor project expenses to ensure budget compliance
  • Assist with corporate and governmental accounting functions as required
  • Process debits and credits accurately to maintain balanced accounts
  • Collaborate with team members to support daily accounting and operational functions
  • Ensure compliance with relevant financial laws, regulations, and company procedures
  • Support management with financial analysis and reporting as needed

Qualifications

  • Proven experience as a Bookkeeper, Accounting Assistant, Financial Coordinator, or similar accounting role
  • Minimum of 5+ years of QuickBooks experience required
  • Minimum of 5+ years of experience performing bank reconciliations across multiple companies required
  • Experience processing vendor payments and invoicing for multiple entities
  • Experience monitoring and updating construction budgets by project
  • Strong understanding of accounting principles and practices, including governmental accounting
  • Proficiency in account reconciliation, general ledger maintenance, and financial reporting
  • Strong knowledge of debits, credits, and bookkeeping procedures
  • Proficiency with Microsoft Excel, Microsoft Office Suite, and Gmail
  • Excellent attention to detail and organizational skills
  • Strong analytical and problem-solving abilities
  • Ability to work independently and collaboratively within a team environment
  • Excellent communication and time management skills

Preferred Qualifications

  • Experience working in the construction industry or project-based accounting environments
  • Experience handling multi-company accounting operations
  • Familiarity with financial compliance and reporting requirements
