Job Title: Financial Manager / Business Manager

Reports To: Senior Pastor/President of School and School Administrator

Status: Full-Time

Location: Onsite at Faith Baptist Church (Opportunities for limited remote work not to exceed one day per work week.)

FLSA Classification: Exempt

Position Summary

The Financial Manager / Business Manager is responsible for the day-to-day financial recordkeeping and accounting support functions for Faith Baptist Church. This role maintains accurate financial records, supports accounts payable/receivable and reconciliations, coordinates with the outsourced payroll provider, prepares financial materials for leadership review, and works closely with leadership to support sound financial stewardship by offering supporting documentation and knowledgeable insight.

This position serves as a key financial operations resource for the organization. The Financial Manager / Business Manager will help ensure that transactions are recorded accurately, payroll is reviewed and validated, reports are prepared on time, and leadership has the information needed to oversee the financial health of the church. The ideal candidate will bring strong QuickBooks experience, student information systems (i.e. Gradelink) experience, sound judgment, attention to detail, and a genuine belief in and support for the mission of the church. Further, an ability to work in a close office setting and with various office personalities is ideal. This position requires an individual capable of working independently through their expected tasks.

Key ResponsibilitiesBookkeeping and Accounting

  • Maintain the general ledger and ensure financial records are accurate, complete, and up to date
  • Record cash receipts, disbursements, journal entries, and other routine accounting transactions in QuickBooks
  • Process and track accounts payable, including coding invoices and preparing payments
  • Assist with accounts receivable tracking, deposits, and reconciliation of incoming funds
  • Reconcile bank accounts, credit card accounts, and other balance sheet accounts on a regular basis
  • Maintain supporting schedules for designated funds, restricted funds, prepaid expenses, accrued expenses, and other key accounts
  • Maintain organized digital and physical financial files and supporting documentation
  • Assist with month-end and year-end close activities
  • Record in student information system tuition and fees
  • Maintain records of special payment arrangements or scholarships

Financial Management Support

  • Prepare monthly financial packets, summaries, and supporting schedules for leadership review
  • Generate checks, reports, and other financial materials requiring leadership review or signature
  • Prepare budget-to-actual reports and other recurring financial summaries for leadership
  • Review transactions for proper coding, documentation, and consistency with budget categories and internal controls
  • Identify discrepancies, missing documentation, unusual variances, or process issues and elevate them appropriately
  • Support audits, financial reviews, tax preparation, and other reporting needs by organizing requested records and schedules

Payroll Coordination and Review

  • Coordinate with the organization’s outsourced payroll provider to support timely and accurate payroll processing
  • Gather, review, and validate payroll-related information including compensation changes, stipends, deductions, leave, and other payroll inputs
  • Work with leadership to confirm payroll changes and ensure accuracy before payroll is finalized
  • Review payroll registers and supporting reports for completeness and accuracy
  • Prepare payroll-related documentation for review, approval, and release in accordance with established internal controls
  • Record payroll-related journal entries and assist with payroll reconciliations in QuickBooks
  • Support year-end payroll documentation and related coordination with the payroll provider

Collaboration and Leadership Support

  • Work closely with the leadership to support financial oversight and reporting
  • Partner with leadership to ensure financial transactions are properly documented and aligned with approved budgets and organizational needs
  • Communicate clearly with staff, ministry leaders, school leaders, and vendors regarding financial procedures, payment status, documentation, and timelines
  • Help support a culture of stewardship, accountability, accuracy, and timely follow-through across the organization

Compliance and Internal Controls

  • Help develop financial policies and practices to safely steward ministry resources
  • Help ensure financial practices align with organizational policies and established approval procedures
  • Maintain confidentiality of payroll, giving, tuition, vendor, and other sensitive financial information
  • Support segregation of duties by preparing materials for review and approval by designated leadership
  • Monitor documentation completeness for expenses, reimbursements, deposits, payroll, and approvals
  • Assist with compliance related to charitable contributions, restricted funds, and other church and school financial practices

Qualifications

  • Working knowledge of general ledger accounting, reconciliations, accounts payable, and financial reporting
  • Ability to prepare accurate reports and maintain strong supporting documentation
  • Strong attention to detail and ability to manage multiple priorities with consistency and care
  • Strong organizational and time-management skills
  • High degree of accuracy and follow-through
  • Ability to work independently while coordinating well with multiple leaders
  • Strong written and verbal communication skills
  • Professional discretion with confidential information

Preferred Skills and Attributes

  • Associate’s or Bachelor’s degree in Accounting, Finance, Bookkeeping, or related field
  • 3+ years of bookkeeping, accounting, or small-organization finance experience
  • Strong QuickBooks and student information systems experience
  • Experience working with an outsourced payroll provider
  • Experience in a nonprofit, church, school, or similar mission-driven environment

Work Schedule

  • Full-time, approximately 40 hours per week on an 8 to 4 schedule with some evening board meeting responsibilities

Compensation

  • $684/week or $35,568/year
  • 40 hours a week
