The Fiscal Administrative Assistant plays a critical role in supporting the Fiscal and Administrative functions of the agency. This position is responsible for assisting with financial recordkeeping, data entry, maintaining accurate fiscal documentation, and supporting compliance with organizational, grant, and regulatory requirements. The Fiscal Administrative Assistant works closely with the Fiscal Department and program staff to ensure efficient financial operations and accurate reporting.
Minimum requirements
- High school diploma or equivalent is required; Previous experience in a fiscal administrative role is preferred but not mandatory.
- Bilingual (Spanish/ English; speak and write) preferred.
- Must clear FBI background check from DOJ.
Qualifications
- Minimum of 0-1+ years of experience in administrative, fiscal, bookkeeping, and/or accounting support role.
- Strong attention to detail and accuracy in data entry and financial documentation.
- Ability to perform repetitive tasks such as typing and data entry.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Strong organizational and time-management skills.
- Ability to handle sensitive and confidential financial information with discretion.
- Ability to manage multiple priorities and meet deadlines.
- Ability to work independently and collaboratively across departments.
- Ability to perform tasks related to physical activity to include sitting, standing, for long periods of time, caring, bending, moving, and lifting up to 50 lbs.
Responsibilities
- Maintain organized fiscal records, both electronic and physical.
- Assist in preparing financial reports, including monthly, quarterly, and grant-related reports.
- Support documentation and audit preparation processes.
- Maintain accurate and up-to-date financial files for internal and external review.
- Scan, file, and archive financial and administrative documents in accordance with organizational retention policies.
- Maintain well-organized electronic and physical filing systems to ensure easy retrieval of records for fiscal staff and as requested by external departments.
- Print and prepare financial documents, reports, and supporting materials for internal use, audits, and external stakeholders.
- Ensure proper labeling, classification, and storage of documents for compliance and audit readiness and review by Finance Supervisor.
- Assist in transitioning paper records to digital formats where applicable.
- Provide administrative support to the Fiscal Department and leadership as needed.
- Coordinate with program staff to collect required financial documentation.
- Support procurement processes, including purchase requests and supply tracking.
- Serve as a point of contact for internal fiscal-related inquiries.
- Assist in scheduling meetings and preparing materials related to fiscal operations.
- Support fiscal operations by maintaining efficient and accurate systems
- Performs other duties as assigned.

Pay: $17.50 - $18.93 per hour
