Fleet Coordinator

The Fleet Coordinator plays a key role in managing vehicle flow companywide including all rental locations, service facilities, auctions and vendors. This full-time role blends logistics, data accuracy, communication, and hands-on vehicle oversight. If you enjoy a mix of office work and field activity, this position offers the best of both worlds.

Key Responsibilities:

Vehicle Routing & Trip Coordination

  • Coordinate vehicle trips between auctions, company lots, body shops, vendors, and service facilities.
  • Communicate schedules and status updates with internal teams and external partners.
  • Ensure efficient routing to minimize downtime and maximize fleet availability.

Maintenance & Service Support

  • Track preventive maintenance schedules and approve body work upon vehicle return.
  • Support service teams to maintain readiness across Auction, Lot, New, and Airport fleet segments.
  • Monitor vendor performance and escalate issues when needed.

Auction & Lot Operations

  • Manage auction vehicle processes, including floor plans and Manheim Market Reports (MMRs).
  • Track vehicle inflow and outflow to ensure timely, accurate movement.
  • Oversee vehicle transfers to and from the Appleton East car sale lot.

Fleet Inspection & Vehicle Setup

  • Inspect newly arrived vehicles for condition, completeness, and operational readiness.
  • Assist with vehicle setup, including basic prep tasks and documentation.

Administrative & Data Management

  • Perform daily data entry related to vehicle status, location, maintenance, and movement.
  • Reconcile FuelCloud transactions daily to ensure accurate fuel usage and billing.
  • Maintain accurate records for fleet, auction, and transportation activities.

Compensation & Benefits:

  • Full-time, Monday-Friday 8:00am – 4:30pm position.

Requirements:

Required Qualifications

  • Must be 18 years of age.
  • 1–3 years of experience in fleet operations, automotive logistics, transportation coordination, or a related field.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Clear, professional communication skills with internal teams and external partners.
  • Strong problem-solving skills and the ability to make decisions independently.
  • Comfortable working in both office and outdoor/lot environments.
  • Proficiency with data entry, spreadsheets, and fleet management systems.
  • Valid driver’s license with a good driving record.

Preferred Qualifications

  • Experience with auction platforms such as Manheim or similar.
  • Familiarity with preventive maintenance schedules and basic automotive terminology.
  • Ability to inspect vehicles for cosmetic and mechanical issues.
  • Experience coordinating transportation or vendor relationships.
