Position Summary: Woods Transportation Solutions is seeking a highly organized and customer-focused Fleet Coordinator & Inside Sales Representative to support both daily fleet operations and transportation sales activities.
This hybrid role combines dispatch, routing, and fleet coordination responsibilities with customer engagement, sales support, and account growth initiatives. The position plays a critical role in ensuring efficient fleet utilization, high service levels, and strong customer relationships, while also supporting revenue growth through transportation service offerings.

Primary Responsibilities:
- Plan, optimize, and distribute daily delivery and pickup routes for local drivers.
- Assign loads to drivers based on availability, HOS compliance, and route efficiency.
- Serve as the primary point of contact for drivers throughout the day, managing real-time updates and changes.
- Coordinate load readiness with warehouse and operations teams to ensure on-time dispatch.
- Monitor shipment status and ensure timely pickups and deliveries.
- Communicate proactively with customers regarding ETAs, delays, and service updates.
- Resolve operational issues such as scheduling conflicts, delays, or breakdowns.
- Track loads, containers, and fleet activity within the TMS.
- Monitor driver Hours-of-Service (HOS) and ensure compliance with DOT regulations.
- Coordinate preventative maintenance and repair schedules for fleet vehicles.
- Maintain accurate records of driver certifications, inspections, and vehicle documentation.
- Support existing customers by identifying opportunities to expand transportation services.
- Conduct outbound calls and emails to introduce and promote transportation offerings.
- Assist in onboarding new transportation customers, ensuring smooth operational setup.
- Respond to customer inquiries related to pricing, service offerings, and billing.
- Partner with Sales, Customer Success, and Operations teams to grow freight volume.
- Identify overflow, non-core, or brokerage opportunities within existing accounts.
- Assist in preparing pricing, quotes, and proposals for customers.
- Maintain accurate records of customer interactions, sales activities, and opportunities.
- Ensure all load and customer data is properly entered and updated in TMS/CRM systems.
- Support billing and documentation processes as needed (BOLs, PODs, invoices).
Required Skills, Knowledge and Abilities:
- Strong understanding of transportation operations, dispatch, and logistics workflows.
- Proven customer service or inside sales experience.
- Excellent communication skills (written and verbal) with a professional, customer-focused approach.
- Strong organizational skills with the ability to multi-task in a fast-paced environment.
- Problem-solving mindset with the ability to make quick, effective decisions.
- Proficiency in Microsoft Office (Excel, Outlook) and Transportation Management Systems (TMS).
- Ability to work cross-functionally with operations, sales, and warehouse teams.
- Detail-oriented with strong follow-through and accountability.
Preferred Qualifications:
- Experience: 1–3 years of experience in transportation, logistics, dispatch, or inside sales.
- Experience in a 3PL, brokerage, or asset-based transportation environment preferred.
- Education: High School Diploma or GED required
Pay: $19.50 - $20.00 per hour
