Fleet Manager / Dispatcher

We are a Los Angeles-based Non-Emergency Medical Transportation (NEMT) company

seeking a reliable, detail-oriented, and proactive Hybrid Dispatcher / Fleet Manager. This

unique position combines fleet & equipment management responsibilities for our 20-vehicle

operation with dispatching duties to coordinate client trips.

The right candidate will have strong multitasking skills, a background in vehicle operations and

maintenance (including an ability to work with and cost-control third party garages), a strong

self-starter and driven approach and excellent communication abilities. This is a hands-on role,

ensuring our fleet runs smoothly while our clients receive safe and timely service.

Key Responsibilities

Fleet Management & Vehicle Oversight

 Establish, manage & cost control a network of vehicle maintenance operations to ensure

the fleet is maintained in a timely and quality manner while controlling costs.

 Oversee daily readiness of a fleet of 20 vehicles - including inspections for safety,

cleanliness, and compliance and maintaining records of such.

 Schedule and track routine preventive maintenance, such as oil changes, tire rotations,

brakes, and inspections.

 Manage vehicle repair needs and coordinate with vendors, mechanics, and dealerships.

 Respond quickly to breakdowns, accidents, or other emergencies, arranging towing and

replacement vehicles as needed.

 Monitor and track mileage, fuel usage, and overall vehicle performance, maximizing

miles per gallon and minimizing maintenance costs per mile and oversee the fuel card

program.

 Ensure all vehicles are compliant with registration, insurance, and local/state regulations.

 Equip, register and operationalize new vehicles in a timely manner.

 Establish and execute a plan to transition to a 70% electric fleet.

 Keep detailed records of all maintenance and repairs.

 Develop and implement systems to minimize downtime and maximize fleet efficiency.

Equipment Management

 Manage all equipment (contracts & hardware) utilized across the business including

cellular phones, iPads, uniforms, gurneys, wheelchairs & stair chairs.

 Ensure all necessary batteries are charged regularly and disposables are kitted for

deployment.

Driver & Team Support

 Point of contact for drivers regarding vehicle issues, including emergency vehicle swap

outs.

 Train drivers in vehicle care, reporting procedures, and safety protocols.

 Address driver concerns about vehicles and coordinate timely resolutions.

 Support driver accountability through tracking and reporting tools.

 Encourage a culture of safety, professionalism, and client service.

Dispatching & Trip Coordination

 Work with dispatch team as a standard dispatcher reporting to the Dispatch Manager for

these duties. Utilize Bambi, Ambiance’s dispatch platform, to schedule and manage

transports; communicate with clients, caregivers, and healthcare facilities, and reach out

to clients to seek additional transports throughout the day.

Qualifications & Skills

 4+ years’ experience in fleet management, logistics, or transportation operations (NEMT

or medical transport a plus). Dispatching experience, including knowledge of NEMT or

ambulance operations, is huge plus.

 Strong knowledge of vehicle maintenance scheduling and fleet operations.

 Self-starter with ability to operate and perform duties with minimal supervision. Desire

to improve operations.

 Excellent problem-solving skills, especially in fast-moving or urgent situations.

 Strong organizational and time-management abilities.

 Proficiency with dispatch software, GPS systems, and Microsoft Office/Google

Workspace tools.

 Ability to communicate effectively and professionally with drivers, clients, vendors, and

management.

 Calm and solutions-focused under pressure.

 Valid California driver’s license and clean driving record.

 Ability to work flexible shifts, including occasional evenings or weekends as needed.
