Role Purpose

The primary purpose of this position is to contribute to the full functionality of the Global Fleet Unit (GFU) and its mandate to coordinate and manage global fleet services in line with the GHS&SCM strategy, ensuring service quality, cost-effectiveness, and full cost recovery.


The position will support the operations and National Societies around the globe and contributes to global fleet management support in close cooperation with the Fleet Ops Coordinator, ensuring adherence to the Fleet Manual, VRP procedures, and FleetWave vehicle management system.


Job Duties and Responsibilities


1) Global Fleet Management Support


•In cooperation with GFC, provide technical support for implementing the standard fleet management procedures across all regions.


•Provide direct fleet management support to the operations and National Societies in the assigned geographical area.


•Regularly use FleetWave, analyze reports, and coordinate data quality with delegations and National Societies.


•Ensure all fleet data is entered correctly and on time; follow up with the Senior Fleet Officer responsible for FleetWave administration where corrections are required.


•Administer, maintain, and update the database of the standard vehicles and related specifications, as well as non-vehicle items (radios, spare parts, tyres, heavy equipment, ambulance equipment, etc.).


2. Estimates and Invoicing


•Prepare Global Fleet Service cost estimates for vehicles and equipment from GFU stock in Dubai.


•Coordinate with Fleet Officers managing VRP stocks in Panama, Harare, Nairobi, and Dakar; archive all related invoices and maintain a cost database (import/export, registration, insurance, preparation).


•Issue Delivery Orders for regional stocks to ensure vehicles are prepared in a cost-effective and technically compliant manner.


•Prepare complete and accurate invoicing packages and submit them to the GHS&SCM Dubai Office – Finance Department to ensure timely, fully cost-recoverable service delivery.


3. Technical Support & Quality Assurance


•Conduct technical review of field requests and approvals, ensuring alignment with the fleet standards and operational requirements.


•Perform technical analysis for procurement, both at the ordering stage and later during supplier proposal evaluations and confirmations.


•Carry out technical review and inspection of finalized vehicles to validate compliance with specifications and support the work of technicians.


•Provide additional support in quality checks for new equipment, new suppliers, and new technical solutions introduced into the fleet.


•Contribute technical expertise to fleet specifications, standards, and continuous improvement processes.


4. Backup Support to GFU Functions


•Support implementation and maintenance of the VRP procedures at the global level.

•Ensure proper filing and archiving systems for FleetWave and VRP processes.

•Administer and communicate procedures, guidelines, and processes to ensure consistent, compliant, and effective service delivery across the GFU.


5. Emergency Deployment

•Be available for deployment at short notice to support emergency operations, in line with GFU mission.
