Fleet Procurement Specialist



The Dealer Purchasing Specialist is responsible for identifying, locating, obtaining pricing, coordinating logistics to and from multiple vendors and completing vehicle quotes for clients. Ensure proper delivery of vehicles in an expeditious and cost-effective manner while achieving excellent client satisfaction.

Responsibilities:
Knowledge:
  • Demonstrates a thorough knowledge of processes with respect to locating and acquiring vehicles and expertise for accurately and efficiently processing client requests such as used vehicle purchases or those involving upfits.
  • Ensures that a reasonable price has been negotiated and the vehicle purchase aligns with purchasing guidelines.
  • Confirms that all the necessary documentation has been received for the applicable order.
  • Creates accurate quotes for the client and obtains approval when deal is outside of established guidelines.
Client and Vendor Service Delivery:
  • Obtains request indicating unit to be purchased.
  • Contacts vehicle dealer to identify vehicle and confirms pricing details.
  • Obtains applicable transportation quotes.
  • Establishes and documents logistics on each vehicle order including transportation to and from any upfit vendor, and final transportation to customer.
  • Provides required information to process payment to dealership for vehicle.
  • Coordinate with Dealer and communicate to client the details of vehicle delivering process, including title and license requirements.
  • Provides timely follow up to client questions and verifies the client has received requested vehicle.
  • Ensures request turnaround time is appropriate and within established guidelines.
  • Maintain positive and professional relationships with our third-party vendors and dealership partners.
Teaming:
  • Works directly with Truck Engineers on customer vehicle selections, and to notify them of any modifications made from the original request.
  • Collaborates with other departments including Structure and Accounting to finalize and fund deals and assists in monitoring order to delivery status.
Requirements:
  • High School Diploma or equivalent.
  • Good understanding of general business operations and customer service and vendor relations requirements normally gained through the completion of a two-year associates business degree program and four or more years office or sales experience, one or more of which should have been spent as a Call Center or Customer Service Representative, or an equivalent combination of education and experience.
  • Strong Negotiation skills.
  • Some knowledge of manufacturer invoice terms and terminology with a good understanding of vehicle market pricing and the impact, of various options, colors, season of purchase, etc., and impact it can have on residual values.
  • Extensive experience and knowledge of vehicle retail incentives.
  • General knowledge relating to upfit equipment and the heavy-duty vehicle segment.
  • Professional written and verbal communication skills.
  • Strong math and analytical ability.
  • Ability to prepare a variety of reports, draw conclusions from these reports.
  • Excellent interpersonal skills with ability to develop and maintain effective business relationships and interact professionally with both internal and external customers.
  • Excellent problem-solving skills. Must be able to evaluate situations and arrive at reasonable solution in a timely manner.
  • Must be able to set priorities, meet deadlines and handle multiple tasks while maintaining a calm disposition in pressured situations.
  • Advanced computer skills with ability to learn and use company and/or industry specific software.
  • Able to work independently, while also contributing to a team-oriented environment.
