The Facilities Coordinator supports the daily operations, maintenance, and administration of all properties within the company’s real estate portfolio. The role ensures that all facilities are safe, well-maintained, and compliant while coordinating closely with tenants, vendors, and technicians.
- Coordinate daily maintenance activities for HVAC, electrical, plumbing, and mechanical systems.
- Schedule and monitor preventive and corrective maintenance with technicians and contractors.
- Maintain accurate records of assets, maintenance reports, and service logs.
- Coordinate tenant check-in, move-in, and move-out processes with the technical and property team.
- Conduct property inspections before and after tenant occupancy and prepare condition reports.
- Handle invoice collection, verification, and submission with all required supporting documents.
- Liaise with vendors and service providers to ensure timely and quality services.
- Track subcontractor performance and ensure proper work completion.
- Visit sites when needed to inspect work progress or resolve maintenance issues.
- Ensure all facilities comply with health, safety, and environmental standards.
- Assist in preparing maintenance reports, purchase requests, and budget tracking.
- Support the Facilities Manager with documentation, permits, and compliance activities.
Qualifications and Experience:
- Bachelor’s degree or diploma in Facilities Management, Engineering, or related field.
- 3–5 years of experience in facilities coordination or property maintenance.
- Strong knowledge of building systems (HVAC, electrical, plumbing, and mechanical).
- Proficient in MS Office and facility management systems (CAFM/CMMS preferred).
- Excellent organizational, communication, and documentation skills.
- Willing to visit project sites as required.
