Location: Remote (U.S.-Based Required)
Engagement: Part-Time (10–20 hours/month initially)
Reports To: Founder / CEO

About the Company

We are a multi-entity food business operating seasonal cart locations in Oregon/Washington and expanding cloud kitchen operations in California.

The cloud division is in active growth mode, expanding from 1 to 4 units within 6 months.

We are transitioning from founder-driven financial management to a structured, system-driven financial governance model.

We are seeking a U.S.-based Fractional Controller to build and oversee financial discipline across all entities.

Role Summary

The Fractional Controller will establish financial infrastructure, ensure reporting accuracy, oversee multi-entity accounting, and provide strategic financial visibility to support disciplined expansion.

This role is not transactional bookkeeping.

This role builds systems, enforces discipline, and provides financial clarity for decision-making.

Core Responsibilities

Financial Governance & Structure

  • Oversee monthly close process for all LLCs
  • Ensure accurate balance sheet reconciliation
  • Maintain clean intercompany accounting
  • Ensure proper classification of expenses
  • Oversee bookkeeping team (including VAs if applicable)
  • Implement chart of accounts standardization across entities

Multi-Entity Oversight

Entities include:

  • S-Corps and LLCs

Responsibilities:

  • Consolidated financial visibility
  • Intercompany loan tracking
  • Entity-level profitability analysis
  • Clean separation between entities
  • Capital allocation tracking

Cash Flow Management

  • Build and maintain 12-week rolling cash forecast
  • Monitor debt obligations
  • Monitor vendor payment discipline
  • Ensure tax reserve planning
  • Flag liquidity risks early
  • Advise on working capital strategy

Unit-Level Performance Reporting

  • Produce monthly P&L per location
  • Provide labor % and food cost visibility
  • Identify margin variances
  • Coordinate with Operations & Performance Lead
  • Translate financial data into operational insights

Tax Coordination

  • Work with CPA firm
  • Prepare financials for tax filing
  • Assist in tax projection planning
  • Ensure S-Corp compliance requirements are met
  • Support reasonable compensation documentation

Expansion Financial Planning

  • Evaluate new unit financial feasibility
  • Review lease financial impact
  • Assist in capital planning
  • Monitor build-out budget vs actual
  • Support financing preparation if needed

What This Role Is NOT

  • Not day-to-day bookkeeping entry
  • Not just year-end tax preparation
  • Not passive financial review
  • Not reactive only during filing season

This is a proactive financial oversight role.

Ideal Candidate Profile

  • 5+ years Controller or Senior Accounting experience
  • Multi-entity experience required
  • Restaurant or hospitality experience strongly preferred
  • Experience with S-Corps preferred
  • Experience with multi-state operations preferred
  • Strong understanding of labor % and food cost economics
  • Comfortable working with founder-led businesses
  • Experience building reporting systems from informal structure
  • Comfortable overseeing offshore bookkeeping teams

Engagement Scope

Initial Commitment:10–15 hours per month (Phase 1)

Expected to scale to:15–20 hours per month as cloud units expand.

Full-time Controller not anticipated until 8–10+ units.

Compensation

Monthly Retainer: $2,500 – $6,000 depending on experience and scope.

Performance-based advisory bonus possible tied to:

  • Timely monthly close
  • Forecast accuracy
  • Financial reporting clarity
  • Successful expansion support

  • Clean monthly close across all entities
  • Intercompany balances reconciled
  • 12-week cash forecast active
  • Unit-level P&L consistently delivered
  • Clear tax reserve planning
  • Financial dashboard provided monthly
  • Founder no longer manually tracking cash
