Front Desk / Administative Assistant

Daylight Properties Management is seeking a detail-oriented and professional Front Desk / Administrative Assistant to serve as the primary point of contact for our office. This role is central to our daily operations, providing essential support across administration, leasing, and financial departments. The ideal candidate will be a "customer service first" individual capable of managing diverse tasks ranging from tenant relations and maintenance coordination to leasing inquiries and basic financial record-keeping.

What You’ll Do

As the Front Desk / Administrative Assistant , you’ll handle a wide range of client inquiries and internal administrative tasks, including but not limited to:

Administrative & Office Operations

  • Customer Service: Act as the first point of contact for employees, tenants, and vendors; manage front desk inquiries with professionalism.

Leasing Support

  • Inquiry Management: Respond to residential inquiries and schedule/conduct showings for prospective tenants.
  • Application Processing: Manage tenant applications and assist with the preparation of residential leases.
  • Renewals: Coordinate residential and commercial lease renewals.
  • Move-In/Move-Out: Schedule and coordinate the move-in/move-out process, ensuring all documentation is updated in Appfolio.
  • Marketing: Maintain the company’s Craigslist account and provide support for website updates and signage (e.g., Herald Sign).

Financial Administration

  • Accounts Receivable: Enter checks and ensure funds/credits are applied correctly to tenant accounts.
  • Banking: Perform regular bank deposits and runs.
  • Reporting: Generate rent rolls and other financial reports as requested by banks or management.
  • Reconciliations: Assist with credit card reconciliations and tracking.
  • Compliance: Manage vehicle tab renewals and send rent increase reminders to tenants.
  • Office Management: Oversee office supplies, handle incoming/outgoing mail, manage voicemail systems, and maintain organized physical and digital filing systems.
  • Communications: Manage various email accounts (Admin, Parking, etc.) and ensure timely responses.
  • Facility Coordination: Manage building directories, signage, and plaques.
  • Maintenance Support: Process incoming work orders and maintenance requests; participate in maintenance meetings to ensure tenant needs are met.
  • Access Control: Manage keys and key cards, including issuing to new tenants and performing regular audits.
  • Compliance & Safety: Track and update records for tenant/vendor insurance, backflow testing, and fire/grease/hood inspections.
  • Data Management: Maintain and update property management software (Appfolio) and Google Drive records.

What We’re Looking For

  • Software Proficiency: Experience with Appfolio (Property Management Software) is highly preferred. Proficiency in Google Workspace (Drive, Sheets, Docs).
  • Communication: Excellent verbal and written communication skills for interacting with a diverse range of tenants and vendors.
  • Organization: Strong multi-tasking abilities and attention to detail, particularly regarding compliance and financial data entry.
  • Professionalism: Ability to handle sensitive tenant information and financial records with confidentiality.
  • Valid ID and ability to pass a background check

Work Schedule:

  • Monday - Friday
  • 8:30 am - 4:00 pm
