About the Role
We are a property management company seeking a reliable and organized Front Desk / Administrative Assistant to support our day-to-day office operations. This role is the heartbeat of our office — you'll be the first voice residents hear and the person keeping our paperwork, records, and processes running smoothly behind the scenes.
No property management experience required — we provide full training. We're looking for someone dependable, detail-oriented, and committed to doing good work. If that's you, we want to hear from you.
What You'll Be Doing
Resident Communication
- Answer resident calls and inquiries regarding leases, payments, policies, and general concerns
- Maintain professional, consistent communication to support resident satisfaction
- Manage resident portal activity and follow-up
Administrative & Records Management
- Maintain accurate resident records and documentation in our property management system (AppFolio — training provided)
- File and organize lease documents, correspondence, and operational paperwork
- Support reporting related to occupancy, leasing, and collections
Leasing & Onboarding Support
- Prepare lease agreements and coordinate execution and required signatures
- Assist with resident onboarding, including welcome materials and move-in coordination
- Confirm collection of security deposits, first month's rent, and required fees prior to move-in
- Review rental applications for completeness
Rent Collection & Delinquency Follow-Up
- Monitor rent payments and follow up on late or outstanding balances
- Issue late notices per company policy and legal requirements
- Assist with payment plan documentation and escalation preparation
Lease Renewals & Move-Outs
- Track lease expirations and coordinate renewal communications
- Manage notice-to-vacate paperwork and coordinate move-out procedures
- Assist with security deposit reconciliation and ensure all move-out records are complete
Compliance Support
- Ensure processes align with applicable housing laws and company policies
- Assist with eviction filings and related administrative documentation
- Escalate complex issues to management as needed

- In-person only — this is not a remote position
- Must be able to commute to or relocate to Baltimore, MD 21202 before start date
