Front Desk Administrator & Medical Assistant (Hybrid Role)

Job Summary

We are seeking a friendly, organized, and detail-oriented professional to join our team in a hybrid role combining front desk administration and medical assisting. This position is ideal for someone who thrives in a client-facing environment while also supporting clinical procedures to ensure a seamless and exceptional patient experience. This role ensures smooth operations at the front desk, supports staff, and upholds the elevated service standards of our medical spa.

Front Desk Responsibilities

  • Greet clients, manage check-ins and check-outs, and maintain a consistently polished and professional reception area.
  • Handle scheduling, appointment coordination, and provider calendars with a strong attention to detail.
  • Ensure patients are charged accurately and consistently for all services, packages, products, and add-ons rendered.
  • Maintain accurate and confidential client records, treatment notes, consent forms, and payment transactions.
  • Ensure compliance with medical spa policies, procedures, and regulatory standards.
  • Coordinate follow-ups, reminders, and client retention efforts
  • Assist with inventory of front desk supplies and with product restocking as needed.

Medical Assistant Duties

  • Prepare treatment rooms and ensure cleanliness and proper stocking of supplies
  • Assist providers during aesthetic procedures (e.g., injectables, laser treatments, facials)
  • Take and record patient vitals, medical histories, and consent forms
  • Provide pre- and post-treatment instructions to clients
  • Maintain sterilization protocols and adhere to safety standards
  • Support inventory management and supply ordering

Skills

  • Exceptional organizational and multitasking abilities, especially in a fast-paced setting.
  • Proficiency with scheduling/EMR systems (experience with medical spa software is a plus).
  • Understanding of medical spa services, terminology, and client care expectations.

Pay: $22.00 - $24.00 per hour
