We are seeking a dynamic and personable Front Desk Agent to be the welcoming face of our organization. Duties

  • Greet visitors and clients warmly, providing exceptional customer support and assistance
  • Manage multi-line phone systems with professionalism, directing calls accurately and courteously
  • Handle appointment scheduling, calendar management, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Maintain office supplies inventory, manage incoming correspondence, and support clerical tasks such as copying and scanning documents
  • Assist with basic bookkeeping using QuickBooks or similar accounting software when needed
  • Support office management by organizing files, managing office equipment, and ensuring a tidy reception area

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities to communicate effectively with diverse clients and team members
  • Prior office experience or administrative experience preferred, including clerical tasks like data entry, filing, proofreading, and calendar management
  • Exceptional organizational skills with keen attention to detail and time management capabilities
  • Customer service expertise with a friendly demeanor and problem-solving skills
  • Knowledge of office management procedures such as bookkeeping (QuickBooks), medical or dental receptionist duties, or personal assistant experience is a plus
  • Ability to handle sensitive information discreetly while maintaining professionalism at all times
