Duties
- Greet visitors, clients, and staff with a warm, professional demeanor, ensuring a positive experience from the moment they arrive
- Manage multi-line phone systems to handle inquiries efficiently and direct calls appropriately
- Maintain accurate appointment scheduling and calendar management using tools like Google Workspace or Microsoft Office
- Perform data entry, filing, and document proofreading to support administrative processes with precision
- Handle incoming correspondence, emails, and inquiries promptly while maintaining excellent phone etiquette
- Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and organizing files for easy access
- Assist with clerical duties including typing reports, supporting customer service efforts, and providing general administrative support
Qualifications
- Proven office experience with strong computer literacy in Microsoft Office Suite, Google Workspace, and data entry skills
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Prior clerical or administrative experience preferred, including familiarity with filing systems and proofreading documents
- Bilingual abilities are a plus to better serve diverse clients and visitors
- Strong customer service skills with a friendly attitude and professional phone etiquette
- Experience with office management tools such as calendar management software or medical/dental receptionist duties is advantageous
