Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Answer and direct all incoming calls using multi-line phone systems with professionalism and courtesy.
- Manage appointment scheduling, calendar management, and coordinate meetings efficiently.
- Handle data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools.
- Support office operations by performing clerical tasks such as proofreading documents, managing correspondence, and organizing files.
- Assist with basic bookkeeping tasks using QuickBooks or similar accounting software when needed.
- Provide excellent customer support by addressing inquiries promptly and professionally while maintaining proper phone etiquette.
Requirements
- Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills.
- Excellent organizational skills with the ability to multitask effectively and prioritize tasks efficiently.
- Bilingual abilities are highly desirable to serve diverse client needs.
- Experience with multi-line phone systems, calendar management, and administrative support is essential.
- Knowledge of office equipment such as fax machines, printers, and scanners is preferred.
- Previous experience in customer service roles like dental or medical receptionist is a plus.
