Front Desk Assistant

Reports to: Office Manager / Lead Chiropractor

Job Summary:

The Chiropractic Front Desk Specialist is the first point of contact for patients and plays a vital role in creating a positive, welcoming experience. This position is responsible for managing front desk operations, including patient check-in/check-out, scheduling, answering phones, and administrative support. The ideal candidate is organized, friendly, and able to multitask in a fast-paced healthcare environment.

Key Responsibilities:

Patient Interaction & Scheduling:

  • Greet patients warmly and professionally upon arrival.
  • Manage patient check-in and check-out procedures.
  • Schedule appointments and follow-up visits accurately.
  • Answer incoming phone calls, return messages, and handle inquiries.
  • Maintain patient confidentiality in accordance with HIPAA regulations.

Administrative Duties:

  • Verify insurance and collect copays or outstanding balances.
  • Input and update patient information in the electronic health record (EHR) system.
  • Confirm appointments and handle cancellations or rescheduling needs.
  • Prepare necessary forms, charts, and documentation for appointments.
  • Assist with data entry, filing, and maintaining organized records.

Clinic Operations Support:

  • Ensure the front desk area is clean, organized, and fully stocked.
  • Support office-wide initiatives to improve patient retention and satisfaction.
  • Assist in triaging patient needs and alerting staff when appropriate.
  • Communicate effectively with chiropractors, therapy staff, and office personnel to
  • support efficient clinic flow.





Customer Service:

  • Provide excellent customer service and help resolve basic patient concerns.
  • Educate patients on office policies, services, and wellness plans.
  • Maintain a calm and courteous demeanor during busy times or in stressful situations.

Qualifications:

  • High school diploma or equivalent (some college preferred).
  • Previous experience in a healthcare, chiropractic, or front desk setting preferred.
  • Strong organizational and multitasking abilities.
  • Proficient in EHR systems, scheduling software, and office technology.
  • Friendly, professional demeanor with excellent verbal and written communication skills.
  • Knowledge of chiropractic terminology and therapies is a plus.
