Responsibilities
- Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly
- Answer multi-line phone systems efficiently, directing calls accurately and professionally
- Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office
- Handle data entry, filing, and document proofreading with precision to maintain organized records
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Provide excellent customer support by addressing inquiries via phone or in person with courteous phone etiquette
- Assist with clerical duties including typing correspondence, managing office emails, and maintaining office cleanliness and organization
Qualifications
- Proven experience in office management, administrative support, or as a receptionist, preferably in a healthcare or dental setting
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry tools
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Bilingual abilities are highly desirable to serve diverse client needs
- Prior experience with multi-line phone systems, filing systems, and clerical tasks such as proofreading and calendar management is preferred
- Demonstrated customer service skills with professional phone etiquette and a friendly demeanor
- Knowledge of medical or dental receptionist duties, including appointment scheduling and insurance verification, is a plus
- Ability to manage time efficiently while handling multiple responsibilities with accuracy and attention to detail
