Front Desk Associate / Office Assistant

Duties

  • Greet visitors, clients, and vendors warmly, creating a positive first impression for everyone entering the office
  • Manage multiple phone lines efficiently, handling calls, providing product information, quotes, estimates, scheduling information, and taking detailed messages as needed
  • Handle incoming correspondence, emails, and inquiries with professionalism and promptness
  • Create, process, and manage invoices, work orders, quotes, estimates, proposals, purchase orders, delivery orders, and related documents
  • Knowledge of processing credit card transactions and data
  • Maintain filing systems, including digital files using Microsoft Office tools
  • Support administrative tasks such as data entry, proofreading documents, and updating records accurately
  • Assist with calendar management and scheduling appointments for customers, vendors, company staff, shop and field workers
  • Provide exceptional customer support by addressing questions and resolving issues courteously
  • Manage office supplies inventory and shop inventory

Requirements

  • Proven experience working at a front desk or in an office environment with clerical responsibilities
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel), Google, Google Mail, and data entry skills
  • Excellent phone etiquette with experience handling multi-line phone systems in a professional manner
  • Bilingual abilities are highly preferred to assist diverse client needs effectively
  • Exceptional organizational skills with keen attention to detail and accuracy in proofreading and data management
  • Ability to manage time efficiently while juggling multiple responsibilities in a fast-paced setting
  • Demonstrated customer service skills with a friendly demeanor and problem-solving attitude
  • Knowledge of managing scheduling shop work, field work, and deliveries
  • Personal assistant experience or administrative support background will be considered an asset

Pay: $18.00 - $24.00 per hour
