Front Desk Associate- Sports Training Facility

Position Overview

The Front Desk Associate is the first point of contact for athletes, parents, and guests at The Vault Performance. This role is responsible for delivering high level customer service, maintaining operational flow, supporting coaches and trainers, and ensuring the facility operates efficiently and professionally at all times.

This position requires strong communication skills, attention to detail, the ability to multitask in a fast paced athletic environment, and a proactive mindset.

Key Responsibilities

Customer Service and Member Experience

  • Greet athletes and families professionally and enthusiastically
  • Check clients in and out using MindBody or designated booking system
  • Answer phones, respond to inquiries, and assist with scheduling
  • Provide accurate information about services, programs, pricing, and policies
  • Handle customer concerns calmly and escalate when necessary
  • Maintain a positive, energetic atmosphere that reflects the Vault brand

Sales and Revenue Support

  • Promote training programs, memberships, and packages
  • Educate clients on VaultTRAIN, private lessons, and recovery services
  • Process payments including cash, card, and online transactions
  • Track daily sales and ensure accurate closing procedures
  • Support front desk sales goals and referral initiatives

Operations and Facility Oversight

  • Maintain cleanliness and organization of front desk, lobby, and common areas
  • Monitor batting cage schedules and manage traffic flow
  • Ensure waivers are completed for all participants
  • Assist with equipment check out and inventory tracking
  • Communicate schedule updates with coaches and trainers
  • Enforce facility rules and safety standards

Administrative Duties

  • Maintain accurate client records
  • Assist with reporting and daily logs
  • Support marketing efforts such as posting, event check in, and promotions
  • Assist with academy and team communication when needed

Qualifications

  • Strong communication and interpersonal skills
  • Comfortable in a fast paced sports performance environment
  • Sales oriented mindset with confidence discussing services and pricing
  • Highly organized with attention to detail
  • Reliable, punctual, and professional
  • Ability to work evenings and weekends
  • Previous front desk, hospitality, fitness, or sports experience preferred

  • Maintain organized and clean front desk operations
  • Support revenue growth through service promotion and sales

Physical Requirements

  • Standing for extended periods

  • Active movement throughout the facility
