Job Summary
We are seeking a dedicated Front Desk Billing Assistant to join our dynamic team. This role is essential in managing front desk operations, facilitating billing processes, and providing exceptional customer service. The ideal candidate will possess strong organizational skills, office management experience, and proficiency with computer systems to support smooth daily operations and ensure accurate financial transactions.
Responsibilities
- Greet visitors and clients professionally at the front desk, maintaining excellent phone etiquette
- Manage multi-line phone systems efficiently, directing calls and taking messages as needed
- Handle data entry tasks accurately using QuickBooks and other office software
- Prepare and process invoices, receipts, and billing statements with attention to detail
- Maintain organized filing systems for billing records, client information, and correspondence
- Support office management tasks such as calendar management, appointment scheduling, and document proofreading
- Assist with bookkeeping duties including basic accounts receivable/payable functions and reconciling financial records
- Provide exceptional customer support by addressing inquiries promptly via phone or email
- Collaborate with team members to ensure timely billing and accurate data entry
- Utilize Google Workspace and Microsoft Office tools to streamline administrative workflows
Requirements
- Prior office management or clerical experience in a professional setting
- Proficiency in QuickBooks accounting software
- Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Excellent organizational skills with the ability to multitask effectively
- Bilingual abilities are preferred to serve diverse client needs
- Experience working as a dental or medical receptionist or personal assistant is a plus
- Demonstrated phone etiquette and customer service skills
- Basic bookkeeping knowledge including data entry, filing, and proofing documents
- Ability to manage time efficiently and prioritize tasks in a fast-paced environment
