Revitalize Clinics is seeking a warm, organized, dependable, and detail-oriented Front Desk Client Care Coordinator to join our team.

This role is ideal for someone who enjoys helping people, communicates well by phone and in person, stays organized in a busy environment, and takes pride in keeping a clinic clean, calm, and professional.

The Front Desk Client Care Coordinator is often the first voice and first impression of Revitalize Clinics. You will help clients and prospective clients feel welcomed, heard, and supported as they take the next step in their care.

Job Overview

As our Front Desk Client Care Coordinator, you will be responsible for answering phone calls, greeting clients, scheduling appointments, responding to new inquiries, assisting with client communication, collecting payments, keeping records organized, and helping maintain a clean and welcoming office environment.

Because we work in mental health and interventional psychiatry, this position requires strong listening skills, emotional maturity, professionalism, confidentiality, and the ability to communicate with people who may be struggling with depression, anxiety, trauma, or other mental health concerns.

Duties and Responsibilities

  • Greet clients, visitors, support persons, and staff with warmth and professionalism
  • Answer incoming phone calls and take accurate messages
  • Listen carefully to client needs and direct questions to the appropriate team member
  • Respond to voicemails, texts, emails, faxes and new inquiries in a timely and professional manner
  • Reach out to prospective clients who have requested information
  • Help schedule, reschedule, confirm, and coordinate appointments
  • Maintain organized client communication in clinic systems
  • Assist with intake paperwork, consents, scanning, filing, and document organization
  • Collect payments and maintain accurate payment records
  • Help keep the front desk, lobby, bathroom, shared spaces, and client-facing areas clean and organized
  • Restock supplies, snacks, beverages, forms, and other client-use items as needed
  • Empty trash, wipe surfaces, straighten rooms, and assist with light cleaning throughout the day
  • Maintain a calm, therapeutic, professional, and welcoming clinic environment
  • Support providers and team members with appropriate administrative tasks as assigned
  • Follow confidentiality, privacy, and HIPAA-related expectations at all times

Skills and QualificationsRequired

  • Strong communication and listening skills

  • Excellent organization and follow-through
  • Ability to multitask while staying calm and respectful
  • Basic computer proficiency
  • Ability to learn scheduling, EMR, CRM, payment, fax, and communication systems
  • Reliable attendance and punctuality
  • Professional appearance and behavior
  • Willingness to help with cleaning, organizing, restocking, and general office upkeep
  • Ability to maintain confidentiality and respect client privacy

Preferred

  • Prior front desk, receptionist, administrative, customer service, or hospitality experience
  • Prior experience in a medical, mental health, wellness, or healthcare setting
  • Experience with Google Workspace, EMR systems, CRM systems, payment systems, or fax systems
  • CPR/BLS certification or willingness to obtain
  • Bilingual ability is a plus
