Front Desk & Client Experience Specialist

Are you passionate about wellness, aesthetics, longevity, and helping people feel their best? Timeless Medical is seeking a warm, organized, and motivated Front Desk & Client Experience Specialist to join our growing physician-led wellness and aesthetics studio in Solon.

We are a boutique functional medicine, longevity, and aesthetic studio focused on helping clients optimize health, confidence, and performance through personalized, science-based care.

This is more than a traditional receptionist role—we are looking for someone who thrives in a fast-paced, client-focused environment and enjoys building relationships, creating exceptional experiences, and helping a growing business succeed.

What You’ll Do

• Welcome and check in clients with warmth and professionalism
• Answer phones, texts, and online inquiries
• Schedule appointments and manage provider calendars
• Support client communication and follow-up
• Assist with sales conversations, memberships, and package education
• Help maintain a beautiful, organized studio environment
• Support treatment room turnover when needed
• Assist with inventory tracking and supplies
• Help with light marketing/social media support (stories, behind-the-scenes content, promotions)
• Coordinate events, open houses, and wellness nights
• Assist providers and nursing staff with administrative needs

Ideal Candidate

✔ A strong communicator who enjoys building relationships
✔ Tech-savvy and quick to learn systems
✔ Interested in wellness, longevity, functional medicine, or aesthetics
✔ Comfortable discussing services and helping educate clients

Bonus if you have experience in:

• Medical office, med spa, aesthetics, wellness, chiropractic, or fitness setting
• Reception/front desk experience
• Sales or membership-based businesses
• Social media content creation
• CRM/EMR scheduling systems (Jane App experience a plus)

Schedule Options

Full-Time or Part-Time Available
Flexible scheduling available, including some evenings or event support.
