Overview
We are seeking a highly organized and detail-oriented Front Desk Coordinator to join our ambulatory surgery center team. The front desk coordinator is responsible for coordinating all aspects of patient surgical scheduling, ensuring accuracy of appointments, helping to gather insurance information, and communication between patients, physicians, anesthesia, and facility staff. The ideal candidate thrives in a fast-paced healthcare environment, has excellent customer service skills, and can manage multiple priorities efficiently.
Duties
- Schedule surgical procedures accurately and efficiently within EMR system according to physician and facility availability. The EMR system used is (SIS) Surgical Information System.
- Coordinate operating room schedules, surgeon block times, and procedure dates.
- Coordinate with surgeons’ offices regarding case details, special equipment, implants, and scheduling changes.
- Verify receipt of all required documentation, including:
- Physician orders
- History & Physical
- Consent forms
- Insurance authorizations
- Pre-op testing/results
- Maintain detailed records of scheduled procedures, CPT (Current Procedural Terminology) codes, ICD-10 diagnosis codes, and other relevant medical coding information for billing purposes.
- Coordinate schedule changes, cancellations, and urgent add-on cases.
- Collaborate with clinical staff to ensure patient readiness and case preparedness.
- Track incomplete documentation and follow up with physician offices promptly.
- Ensure compliance with facility policies, HIPAA regulations, and accreditation standards
- Assist with front office administrative tasks as needed.
Experience
- Prior experience in a medical office setting or healthcare environment is essential; ambulatory experience is highly preferred.
- Demonstrated proficiency with EMR systems such as Epic, HST, or SIS is preferred.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment; clerical experience including filing, data entry, and document management is advantageous.
- Exceptional customer service skills with a professional demeanor; bilingual abilities are a plus to assist diverse patient populations.
- Familiarity with health information management practices including HIPAA compliance ensures confidentiality of sensitive patient data.
- Computer literacy in Microsoft Office Suite (Word, Excel) along with experience using multi-line phone systems enhances daily workflow efficiency.
