Front Desk Coordinator/Receptionist

Position Summary

The Front Desk Office Coordinator is responsible for providing a range of office duties and administrative support and receiving and directing visitors, vendors, clients, and customers to appropriate locations and parties.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Open and close office reception daily
  • Answer, assist, and direct all incoming telephone calls to appropriate parties in a professional and courteous manner along with the necessary information regarding each case
  • Greet and sign in all guests; issue visitor badge and validate parking as necessary
  • Escort guests to appropriate conference room/serve refreshments as needed and inform staff member of arrival
  • Perform related clerical work such as typing, filing, and sorting mail distribution
  • Receive and document all packages from UPS/FED EX/Couriers and notify appropriate party
  • Check out key for wellness room and keep log
  • Check out spare security cards for vendors through IT
  • Arrange for computer setup with IT for meetings
  • Manage and book conference rooms along with conference lines when necessary
  • Assist in keeping reception area, conference rooms and kitchens clean and tidy
  • Assist vendors
  • Provide administrative support when needed (back up for Office Services)
  • May coordinate businesses lunches and/or other related duties including set up and clean up
  • Perform other duties as assigned

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • Two years of reception experience (or equivalent customer related ability)
  • Prior administrative office experience
  • Proficient in Microsoft Office, specifically Excel and Word
  • Excellent oral and written communication skills
  • Excellent customer relationship skills
  • Excellent time managing skills with the ability to multi-task and prioritize
  • Ability to handle conflicting time demands and focus on task completion with little direction or need for supervisory follow-up
  • Proficient command of the English language in both oral and written format
  • Ability to maintain confidentiality in a professional manner

Job Type: Full-time

Pay: $18.00 - $19.00 per hour
