Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette.
- Handle scheduling tasks such as calendar management and appointment setting for staff and executives.
- Maintain organized filing systems, perform data entry, and ensure accurate record keeping using tools like Microsoft Office and Google Workspace.
- Assist with office management duties including supply inventory, filing, proofreading documents, and supporting administrative tasks.
- Support bookkeeping activities using QuickBooks or similar software, including basic bookkeeping and expense tracking.
- Provide customer support by responding to inquiries via phone or email, ensuring timely follow-up and resolution of issues.
Experience
- Proven experience working at a front desk or in an office environment with clerical responsibilities.
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting.
- Prior experience managing multi-line phone systems and demonstrating professional phone etiquette.
- Bilingual abilities are highly desirable to serve diverse client populations effectively.
- Familiarity with office management software such as QuickBooks or other bookkeeping tools is a plus.
