We’re seeking a reliable and motivated Front Desk Receptionist with a background in medical or aesthetics to join our growing team.

Position Overview

As the Front Desk Receptionist, you will be the first point of contact for clients. You’ll manage scheduling, client communications, administrative tasks, and support our providers in maintaining an organized and efficient workflow. The ideal candidate will be well-presented, detail-oriented, tech-savvy, and passionate about both the medical aesthetics industry and communications/marketing.

This role is an excellent fit for someone with a degree in Mass Communications, Marketing, or a related field who enjoys client-facing work and creative social media support.

Responsibilities

• Greet and check in clients with professionalism, warmth, and a polished appearance
• Manage phone calls, emails, and appointment scheduling
• Maintain accurate client records and assist with intake paperwork
• Process payments, invoices, and membership billing
• Coordinate provider schedules and client follow-ups
• Utilize EMR and scheduling systems (OptiMatra, Epic, or similar platforms)
• Assist with social media marketing tasks such as creating posts in Canva, supporting video content, and contributing ideas for online campaigns
• Create, edit, and manage documents in Microsoft Word and related platforms
• Ensure the front desk and lobby remain clean, organized, and welcoming
• Support daily spa operations and special events as needed

Qualifications

• Previous front desk, medical office, or spa reception experience required
• Experience with OptiMatra, Epic, or similar EMR systems
• Strong computer skills: Word, Canva, scheduling software, and general tech proficiency
• Degree in Mass Communications, Marketing, or related field preferred
• Professional, polished appearance and excellent communication skills
• Basic social media marketing skills (Canva graphics, video support, content ideas)
• Ability to multitask and stay calm in a fast-paced environment
• Interest or experience in medical aesthetics, skincare, or beauty services is a plus

Schedule

• Full-time (some evenings and Saturdays required)

Job Type: Full-time

Pay: $13.50 - $16.50 per hour

Expected hours: 20 – 40 per week
