Position Overview

As the first and last point of contact in our clinic, the Front Desk Medical Receptionist plays a vital role in creating an exceptional patient experience. This position is responsible for building strong rapport with every patient, ensuring seamless administrative operations, and supporting the clinical team in promoting patient compliance with their Physical Therapy program.

This is more than a front desk role — it is a key position that drives patient satisfaction, clinic efficiency, and overall success.

Core Mission

  • Deliver a welcoming, professional, and positive patient experience
  • Ensure accuracy in scheduling, insurance verification, and financial transactions
  • Support the Physical Therapist by reinforcing patient understanding and compliance
  • Maintain smooth daily front office operations
  • Contribute to measurable clinic performance outcomes

Valuable Final Product (VFP):
An educated patient who maintains clear, consistent communication with the clinic and actively participates in their care plan.

Key Responsibilities:

Patient Experience & Communication

  • Greet patients warmly and professionally at check-in and check-out
  • Manage incoming calls, emails, and in-person inquiries
  • Assist new patients with intake paperwork, ensuring 100% accuracy
  • Reinforce therapy schedules and expectations to support compliance

Scheduling & Coordination

  • Schedule and confirm patient appointments efficiently
  • Monitor arrivals, cancellations, no-shows, and reschedules
  • Maintain accurate and up-to-date patient charts
  • Track and support referral flow and patient discharge processes

Insurance & Financial Administration

  • Verify insurance benefits and obtain authorizations
  • Collect copays, insurance payments, and equipment fees
  • Ensure accurate financial documentation and processing
  • Maintain 100% accuracy in all financial transactions

Office Operations & Support

  • Maintain a clean, organized, and professional front office area
  • Provide general administrative support to clinical staff
  • Monitor and report key clinic statistics, including:
  • % Arrivals
  • Referrals
  • Cancellations
  • No Shows
  • Discharges
  • Dropouts

Job Types: Full-time, Part-time

Pay: $18.00 - $25.00 per hour
