About the Role

The Front Desk & Municipal Court Clerk serves as a main point of contact at Town Hall and plays an essential role in supporting daily operations for the Town of Severance. This position assists residents in person and by phone, provides accurate information, processes payments, and maintains an organized and professional front desk environment.


In addition to front-facing customer service duties, the role includes key responsibilities for Municipal Court, such as preparing documents, managing records, and helping ensure efficient court proceedings.


This position is well-suited for someone who works well in a fast-paced setting, stays organized, communicates clearly, and takes pride in providing reliable support to both the public and Town staff.


What You’ll Do: Front Desk & Customer Service (Primary Focus)

  • Be the first friendly face and voice of the Town, assisting residents in person, by phone, and by email.
  • Process utility payments, permits and daily transactions, balance cash receipts.
  • Manage mail distribution and maintain a polished, welcoming front-office environment.
  • Provide accurate information and connect community members to the right departments.
  • Offer notary services to residents.
  • Support administrative needs across Town Hall, ensuring exceptional customer service at all times.
  • Assist Town Clerk with board/commission tasks and department workflows.
  • Ensure Town forms, PDFs, and digital documents meet ADA & WCAG accessibility standards.
  • Review departmental documents for readability, formatting, and accessibility.
  • Assist in document retention and records management.
  • Coordinate with departments, especially the Police, on court dates, policies, and warrants.


Municipal Court Clerk Duties (Core Function)

  • Prepare, maintain, and organize court case files, electronic and paper.
  • Enter and update legal records, including citations, complaints, dispositions, and court orders.
  • Serve as the Judge’s assistant during monthly court sessions.
  • Coordinate with the Police Department, Prosecuting Attorney, DMV, CBI, and other agencies.
  • Prepare court dockets, hearings, calendars, and agency notifications.
  • Process filings, appeals, transfer records, and agency referrals.
  • Maintain confidentiality and compliance with state law, retention rules, and court procedures.
  • Support development of court rules, policies, and forms; participate in CAMCA and clerk training.


Confidentiality Requirements

Access to confidential information, including court records, police reports, and personal data. High discretion required.


What You Bring

  • High school diploma required; associate degree preferred.
  • 3–5 years of administrative or customer service experience.
  • Court, municipal, or police admin experience is highly desirable.
  • Strong computer skills (Word, Excel, PDFs, case software).
  • Excellent multitasking, customer service, and communication ability.
  • Independent work ethic and judgment.
  • Bilingual preferred (English/Spanish).

Conditions of Employment

  • Valid Colorado driver’s license.
  • Ability to obtain a Notary within 60 days of employment.
  • Criminal background check required.
  • Must comply with Town policies.

Physical & Work Environment: Monday–Friday, 8:00 AM–5:00 PM (In-person)

  • Office-based; frequent sitting/standing/computer use.
  • Occasional lifting up to 25 lbs.
  • Attendance at court sessions and some evening meetings.
