Physical Therapy Now is seeking a dedicated and organized Front Desk / Patient Coordinator to join our team in Hallandale Beach, FL. This vital role ensures smooth daily operations of our physical therapy clinic by providing exceptional patient service, managing administrative tasks, and supporting clinical staff. The ideal candidate will have strong medical office experience, excellent communication skills, and proficiency with electronic health records systems. Bilingual abilities and prior clinic experience are highly valued to enhance patient interactions and support diverse patient populations.
Duties
- Greet patients warmly and manage patient check-in/check-out processes
- Verify insurance coverage and perform insurance authorization and verification procedures
- Schedule appointments efficiently using EMR IKON system.
- Collect payments and process billing using medical coding including CPT, ICD-10 codes, and ensure accurate documentation review
- Maintain accurate and confidential medical records in compliance with HIPAA regulations
- Assist with patient intake forms, documentation review, and updating electronic health records (EHR systems)
- Answer multi-line phone systems with professional phone etiquette; manage appointment rescheduling and inquiries
- Coordinate with clinical staff regarding care plans, medical documentation, and billing processes
- Ensure a clean and organized front desk area to promote a welcoming environment for patients
- Front desk check-in and check-out for all physical therapy patients
- Answering phone calls, scheduling appointments, managing the clinic calendar
- Insurance verification for Medicare, Medicaid, PPO, HMO, Workers Comp, Auto
- Confirming eligibility, copays, deductibles, coinsurance, referrals
- Completing & submitting authorizations for major payers (Humana, Aetna, Cigna, BCBS, United, Medicaid HMOs, etc.)
- Following up on pending authorizations and documenting status in EMR
- Collecting copays and patient balances at the front desk
- Verifying benefits for physical therapy, evaluations, and follow-up visits
- Maintaining updated patient records in EMR system
- Daily front desk tasks: scanning, uploading, organizing, confirming appointments
- Supporting therapists and office manager with patient flow
- Providing high-level customer service to every patient
Skills
- Strong knowledge of medical terminology, ICD-10 coding, CPT coding, and medical billing procedures
- Experience with EMR/EHR system IKON is preferred
- Proficiency in Microsoft Office Suite (Word, Excel) and general computer skills for documentation and scheduling tasks
- Excellent customer service skills with the ability to handle sensitive information discreetly in accordance with HIPAA standards
- Effective communication skills; bilingual abilities are a plus to serve diverse patient populations
- Prior clinic or medical office experience is highly desirable; dental or hospital experience is beneficial
- Strong organizational skills with attention to detail in managing medical records and appointment schedules
- Ability to work efficiently in a fast-paced environment while maintaining professionalism and courtesy at all times
