Front Desk & Patient Experience Coordinator (Sales + Marketing Focus) – Medical Spa

Job Overview
Platinum Medical Spa is a high-end aesthetic practice in Aliso Viejo focused on delivering exceptional patient outcomes and experience. We are looking for a high-energy, polished, and proactive team member who can manage front desk responsibilities while also contributing to patient conversion, retention, and grassroots marketing initiatives. Compensation includes hourly pay as well and incentive compensation based on sales and marketing efforts.

This is not a typical front desk role — we are looking for someone who understands sales, patient experience, and growth.

Key ResponsibilitiesFront Desk & Operations

• Greet and check in patients; manage daily schedule in PatientNow
• Answer phones, texts, and emails; convert inquiries into booked appointments
• Ensure all patient intake, consents, and photos are completed properly
• Coordinate provider schedules and optimize flow throughout the day
• Maintain a clean, organized, high-end front office environment

Patient Experience & Sales

• Educate patients on treatments, skincare, and membership/rewards programs
• Recommend services and products to increase patient value per visit
• Follow up with leads and existing patients (text/email/phone)
• Assist with treatment plan conversions and rebooking

Marketing & Growth (Key Differentiator)

• Execute grassroots marketing initiatives (local outreach, events, partnerships)
• Assist with social media coordination (posting, responding, basic content capture)
• Help drive patient retention campaigns and promotions
• Support database reactivation efforts

Qualifications

• Experience in medical spa, aesthetics, dermatology, or wellness strongly preferred
• Prior front desk, patient coordinator, or sales experience required
• Strong communication and interpersonal skills (must be polished and personable)
• Sales-oriented mindset (comfortable recommending services/products)
• Organized, proactive, and detail-oriented
• Comfortable multitasking in a fast-paced environment
• Experience with PatientNow, Aesthetic Record, or similar EMR is a plus

Job Type: Part-time

Pay: $21.96 - $22.69 per hour
