About the Role

We are seeking a highly professional, well-spoken, and organized Receptionist / Front Office Administrator to be the first point of contact for our luxury dog daycare and boarding facility. This role is critical to delivering a premium client experience while supporting daily administrative operations.

The ideal candidate must have perfect spoken and written English, a genuine love for dogs, and the ability to handle clients confidently in a fast-paced, service-driven environment.

Key ResponsibilitiesFront Desk & Client Service

  • Welcome clients professionally and warmly at all times
  • Handle check-ins, check-outs, bookings, and inquiries
  • Provide clear information about services, packages, and policies
  • Manage face-to-face, phone, WhatsApp, and email communication
  • Maintain a clean, organized, and professional reception area

Administrative Duties

  • Maintain accurate client and pet records in the system
  • Manage bookings, schedules, and availability
  • Prepare invoices, receipts, and payment records
  • Assist management with reports and basic data entry
  • Ensure all documentation and vaccination records are complete

Coordination & Operations Support

  • Coordinate daily schedules with handlers, trainers, and grooming team
  • Follow up with clients regarding reservations, updates, and special requests
  • Support transport bookings and daily logistics when required

Problem Solving & Conflict Resolution

  • Handle client concerns calmly and professionally
  • Resolve issues quickly while maintaining excellent customer relations
  • Escalate sensitive matters to management when necessary

Candidate RequirementsLanguage & Communication

  • Perfect spoken and written English – mandatory
  • Clear, confident, and professional communication style

Skills & Competencies

  • Excellent communication and interpersonal skills
  • Strong problem-solving and conflict-resolution abilities
  • High level of organization and attention to detail
  • Confident multitasker with the ability to work under pressure

Computer Skills

  • Strong PC skills (email, Microsoft Office, CRM, booking systems)
  • Fast and accurate data entry
  • Comfortable using digital systems for scheduling and payments

Personal Attributes

  • Must love dogs and feel comfortable working around animals
  • Positive attitude, friendly personality, and professional appearance
  • Reliable, punctual, and responsible
  • Ability to work independently and as part of a team

Experience

  • Minimum 1–2 years of reception, admin, or customer service experience
  • Experience in hospitality, veterinary clinics, salons, or luxury services is an advantage
