Essential Duties and Responsibilities:
- Communicate effectively on the telephone and in person.
- Come to work as scheduled and consistently demonstrate dependability and punctuality.
- Receive, sort and distribute mail accurately and timely.
- Receive, sort and log in all packages and notify responsible party of package.
- Collects clinical and financial documentation needed for pre-admission and post-admission screening. Communicates with interdisciplinary teams for eligibility approval.
- Builds and maintain strong relationships with hospitals, discharge planners, and other referral sources.
- Verifies Medicare Part A and B coverage, HMO or other insurance coverage, and ensures benefits meet facility requirements and pre –authorizations prior to admission.
- Tracks referral activity and admission status using the facility's CRM or EMR system, maintaining accurate and timely records.
- Schedules and leads facility tours for prospective residents and families, presenting services in a professional and informative manner.
- Collaborates with the Admissions & Marketing Director in census-building initiatives, and marketing efforts and events.
- Coordinates the admission process to ensure a smooth transition for residents, including timely communication with all necessary departments.
- Ensures compliance with all state and federal regulations related to Medicare admissions and HIPAA privacy guidelines
- Follow verbal and written instructions.
- Operate the facility telephone and paging system.
- Keep an accurate list of residents coming in, going out, on vacation, in the SNF
- Handle emergency situations in a calm, effective manner.
- Follow fire and disaster procedures during a drill and actual occurrence.
- Work cooperatively with all facility department supervisors and administration.
- Screen and direct all incoming calls.
- Answer all inquiries according to facility release of information policies and procedures.
- Screen all individuals coming into the facility and exercise good judgment in granting entrance.
- Handle all correspondence assigned.
- Communicate and work cooperatively with facility staff.
- Interact with residents or residents’ representatives and direct them to appropriate individuals.
- Follow resident emergency procedures and be alert and attentive to the arial pendent system and emergency pull cords.
- Perform other related duties as assigned from your supervisor.

Education and/or Experience
- A minimum of 1 year experience working as a receptionist/admission with multi line telephone is preferred.
- Experience with MS office suite
- Excellent communication skills
- Ability to operate general office equipment
- Friendly and cheerful disposition
Language Skills
Ability to read, analyze, and interpret, general business periodicals, professional journals, or governmental regulations. Ability to effectively present information and respond to questions from managers, residents, family members, employees, and the general public. Must be able to read, write, speak and understand fluent English.
Physical Demands
While performing the duties of this job, the employee is regularly required to sit at a desk. The employee is occasionally required to stand, walk, reach with hands and arms, grasp, stoop, kneel, crouch or crawl and balance of physical equilibrium to prevent falling of self, others or of objects being carried. The employee occasionally must lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception and ability to adjust focus.
