Overview
We are seeking an energetic, patient, and professional Front Desk Receptionist to be the welcoming face of our organization. This vital role involves managing front desk operations with enthusiasm, ensuring smooth office flow, and delivering exceptional client service. You will be trained by the current Front Desk, 20-30 hours per week, this Tax Season.
In January of 2027, you'll work full-time; 40-45 hours per week, through all of next Tax Season (January-May).
This job is 20-30 hours per week through Mid-May.
June-December will be 5-10 hrs per week.
Starting January 2027, hours will increase up to 40 hours per week. You will be expected to be the full-time Front Desk through the 2027 Tax Season(January-May). Part-Time hours again, June-December, in the off-season.
Duties
- Greet visitors, clients, and vendors warmly and professionally, providing excellent customer support at all times
- Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages with precision and timeliness
- Maintain organized filing systems, data entry records, and manage appointment calendars using our Appointment App or Microsoft Office tools
- Support office management tasks such as supply inventory, document proofreading, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including typing documents, proofreading materials, and maintaining accurate records
- Provide administrative support to team members as needed, including scheduling meetings and managing calendar appointments
Requirements
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), and social media platforms
- Experience with multi-line phone systems and phone etiquette in a professional setting
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Familiarity with office management tasks such as filing, data entry, and record keeping
- Excellent customer service skills with a friendly demeanor and professional communication style
- Strong time management skills to prioritize tasks efficiently in a fast-paced environment
- Previous experience as a receptionist in medical or dental offices is a plus but not required; relevant personal assistant or clerical experience is valuable
- Knowledge of bookkeeping software like QuickBooks or similar tools is advantageous
