Front Desk Receptionist

The Front Desk Coordinator is the first point of contact for clients at the medical spa. This role is responsible for delivering exceptional customer service, managing appointments, handling administrative tasks, and ensuring a welcoming and professional environment.

Key Responsibilities:

  • Greet clients warmly and ensure a positive, high-end customer experience
  • Answer phone calls, emails, and online inquiries in a timely and professional manner
  • Schedule, confirm, and manage appointments using booking software
  • Check clients in and out, including processing payments and maintaining accurate records
  • Maintain knowledge of services, products, and promotions to effectively educate clients
  • Assist with retail sales and recommend skincare products as appropriate
  • Ensure the front desk area is clean, organized, and presentable at all times
  • Handle client concerns or direct them to appropriate staff members
  • Maintain client confidentiality and follow HIPAA/privacy guidelines
  • Coordinate with providers and staff to ensure smooth daily operations

Experience

  • Previous experience in a front desk or receptionist role is preferred
  • Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Strong organizational skills with the ability to manage multiple tasks efficiently
  • Excellent typing skills with attention to detail for data entry tasks
  • Experience in customer service or administrative roles is highly valued
  • Knowledge of medical receptionist duties is a plus
  • Personal assistant experience will be considered an asset
