Responsibilities

- Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using professional phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and confidentiality
- Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and stored
- Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools
- Support office management tasks such as ordering supplies, maintaining cleanliness, and overseeing general administrative functions
- Assist with bookkeeping duties using QuickBooks or similar software to track expenses and invoices when needed
Skills
- Proven experience in office management or administrative support roles with strong clerical skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Exceptional customer service skills with a friendly demeanor and professional phone etiquette
- Bilingual abilities are highly valued to assist diverse client needs
- Experience with data entry, proofreading, filing systems, and calendar management to ensure accuracy and efficiency
- Knowledge of medical or dental receptionist procedures is a plus but not required; relevant personal assistant experience is advantageous
