Front Desk Receptionist

Overview
We are seeking a front desk receptionist in a medical setting/physical therapy outpatient clinic. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will be energetic, organized, and possess excellent communication skills, ready to handle multiple responsibilities with enthusiasm and professionalism. Duties

  • Greet visitors and clients warmly, creating a positive first impression of the organization
  • Answer multi-line phone systems promptly and professionally, directing calls efficiently
  • Manage appointment scheduling and calendar management for staff and departments
  • Handle data entry, filing, and document proofreading to maintain accurate records
  • Maintain organized front desk area, ensuring cleanliness and readiness for daily operations
  • Utilize computer skills including our EMR
  • Responsible for verifying insurance eligibility and benefits
  • Obtaining referral authorizations
  • Updating patient demographics and ensure all patient forms are complete
  • Communicate with insurance companies regarding coverage and authorizations
  • Collects copays and balances at time of service
  • Maintains accurate patient records in the EMR system while ensuring HIPAA compliance
  • Provides admin support such as scanning, filing and coordinating with clinical and billing staff to ensure smooth daily operations

Skills

  • Proven experience in office administration or front desk role with strong organizational skills required/experience with patient scheduling and check-in/check-out procedures
  • Excellent phone etiquette and customer support abilities/professional and friendly patient-focused attitude, including handling difficult situations gracefully/ able to multitask and work in a fast-paced environment
  • Bilingual proficiency preferred to serve diverse client needs effectively
  • Knowledge of insurance verification and referral authorization processes
  • Familiarity with EMR/EHR systems
  • Basic understanding of medical terminology
  • Attention to detail and accuracy in data entry
  • Strong organizational and time-management skills
  • Ability to manage time efficiently while juggling multiple tasks in a fast-paced environment
  • High school diploma or equivalent required
  • Personal assistant or office management experience enhances capability in handling diverse responsibilities effectively
