Job Summary
We are seeking a professional and personable Front Desk Receptionist to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. In this role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to clients, visitors, and staff. Your expertise in office management and administrative support will ensure smooth daily operations while maintaining a positive and professional environment.
Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression of the organization.
- Manage multi-line phone systems efficiently, directing calls accurately and courteously.
- Handle incoming correspondence, including emails, mail, and deliveries, with attention to detail.
- Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy.
- Support office management tasks such as calendar management, appointment scheduling, and meeting coordination.
- Assist with bookkeeping activities using QuickBooks or similar software to track expenses and invoices.
- Provide administrative support including typing documents, managing office supplies, and supporting clerical tasks.
- Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare reports and correspondence.
- Uphold professional phone etiquette and customer support standards while addressing inquiries promptly.
- Maintain confidentiality of sensitive information and ensure compliance with organizational policies.
Requirements
- Proven experience in front desk reception, office management, or administrative roles within a professional setting.
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Demonstrated customer service skills with a friendly yet professional demeanor.
- Experience handling multi-line phone systems and managing appointment calendars efficiently.
- Bilingual abilities are preferred to serve diverse client populations effectively.
- Clerical experience including data entry, filing, proofreading, and office support functions is highly desirable.
- Knowledge of QuickBooks or bookkeeping practices is a plus for financial recordkeeping tasks.
- Strong phone etiquette coupled with excellent communication skills both verbal and written.
