Front Desk Receptionist

Job Overview
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors.   • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Answer and direct all incoming calls using multi-line phone systems with excellent phone etiquette
  • Manage appointment scheduling and calendar coordination for staff and executives using Google Workspace or Microsoft Office tools
  • Handle data entry, filing, and document proofreading to maintain accurate records and organized files
  • Assist with office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
  • Support administrative functions including typing correspondence, managing email communications, and supporting customer support inquiries
  • Maintain a tidy reception area and ensure all front desk equipment is functioning properly

Skills

  • Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask efficiently and prioritize tasks effectively
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Exceptional customer service skills with a friendly demeanor and professional appearance
  • Familiarity with phone etiquette and handling multi-line phone systems confidently
  • Experience with data entry, filing systems, proofreading documents, and basic bookkeeping (QuickBooks preferred)
  • Personal assistant or medical/dental receptionist experience is a plus for specialized environments
  • Strong time management skills to handle multiple responsibilities seamlessly
