Duties
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
- Handle front desk responsibilities including checking in visitors, scheduling appointments, and managing visitor logs
- Maintain organized filing systems, data entry records, and ensure accurate documentation using Microsoft Office and Google Workspace tools
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping with QuickBooks
- Assist with clerical duties like proofreading documents, managing correspondence, and supporting customer support inquiries
- Perform general office duties including filing, photocopying, faxing, and maintaining a clean reception area
Skills
- Proven experience in office management or administrative support roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Familiarity with multi-line phone systems and professional phone etiquette
- Bilingual abilities are a plus for effective communication with diverse clients and team members
- Prior experience as a dental or medical receptionist is advantageous; personal assistant experience is also valued
- Strong customer service orientation with the ability to handle inquiries efficiently and professionally
- Ability to multitask effectively while maintaining attention to detail; typing speed and accuracy are essential
- Knowledge of bookkeeping software such as QuickBooks; experience with calendar management tools is preferred
- Demonstrated time management skills to prioritize tasks effectively throughout the day
