Receptionist/ Project Admin
Job Responsibilities:
- Answering all incoming general phone calls and providingadministrative support.
- The front face of the company and welcoming in visitors by greeting, welcoming, and directing them appropriately.
- Notifies company personnel of visitor arrival.
- Maintains security and telecommunications system.
- Informs visitors by answering or referring inquiries.
- Operates telecommunication system.
- Keeps a safe and clean reception area by complying with Insights procedures, rules, and regulations.
- Contributes to being a team player, open minded to multiple demand and needs.
- Keeping the office spaces well cared for, and an appealing appearance.
- Keeping all public areas with the office building organized and tidy.
- Handling office maintenance of stationary supplies, kitchen, coffee bar items, conference room and bathroom toiletries.
- Placing orders for meals for meetings/company events.
- Managing overseeing the communal office machinery, such as copiers, fax machines, and postage machines.
- Handling incoming and outgoing mail and packages.
- Drop of FedEx and UPS packages.
- Be able to handle 10 to 20lbs of supplies to restock and replace.
- Handling of solicitors.
- Coordinating company events and utilizing the conference room and or outside vendor for holiday events.
- Supporting different departments, such accounting and project managers.
- Filling in the accounting office, organizing and archiving of past year files.
- Creating AP files.
- Logistic travel arrangement for employees, hotels, rental cars, and flights.
- Coordinating company events i.e., holidays and summer picnics.
- Maintaining and organizing office space for employees, supply closets, restroom supplies.
- Supporting project managers with administrative support, with making copies, and shipping out packages and files.
- Handling company reservations.
- Handling auto vehicles registration and tracking.
- Open to helping other departments.
- Supporting accounting manger with collection of timesheets and expense reports on a weekly basis.
- Constant communication with AP on daily task
- Consistency and attendance are very important.
