Duties
- Greet visitors and clients warmly, ensuring a professional and friendly atmosphere at all times
- Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading
- Schedule appointments, manage calendars, and coordinate meetings for staff or medical/dental professionals as needed
- Utilize computer skills with Microsoft Office, Google Workspace, and other office management software to support daily operations
- Assist with clerical tasks such as typing reports, proofreading documents, and maintaining office supplies inventory
Qualifications
- Proven office management or administrative experience in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to multitask effectively and prioritize tasks efficiently
- Exceptional customer service skills with a professional demeanor and strong phone etiquette
- Bilingual abilities are highly desirable to serve diverse client populations
- Experience with QuickBooks or bookkeeping is a plus but not required
- Previous experience as a medical or dental receptionist or personal assistant is advantageous
- Ability to handle confidential information discreetly and maintain professionalism at all times
